InkNote AI Guardian ("the Service") is developed and operated by the InkNote AI Team ("we", "us"). Protecting your privacy is not an add-on feature of this Service — it is the core design: the offline AI architecture means your content simply never needs to leave your device. This document explains how we handle your data and the rights you enjoy (Privacy Policy), and the rights and obligations between you and us when you use the Service (Terms of Service).

Privacy Policy

1. Data we do NOT collect (on-device content layer)

The following data exists only on your device; we have no technical means of obtaining it:

The features above (scanning, OCR, Word export, printing, local models, voice meeting minutes, AI conversation) can be used anonymously: no sign-in is required, and nothing is uploaded even if you sign in. AI computation (text recognition, speech recognition, summary generation) is performed entirely by the on-device InkNote Engine and requires no network connection.

Microphone permission: the "voice meeting minutes" feature requires your permission to use the microphone for recording. Recordings and the resulting transcripts are stored only on your device, and speech recognition is processed entirely offline on the device — nothing is uploaded to us or any third party. The microphone is used only when you actively start a recording; there is no background listening. You can revoke the microphone permission at any time in your device system settings.

2. Data we DO process (cloud account layer)

When you register an account or subscribe to a paid plan, we process the following data:

Explicit statement: the cloud stores only the account metadata in the table above; it does not store or sync your scanned images, OCR text, Word files, recordings or any document content.

Diagnostics and crash data: to detect and fix errors and keep the application stable, we collect crash logs and diagnostic data. This may include the error stack trace at the time of a crash, App version, device model, operating-system version, and performance metrics (such as startup time and memory usage). This data is used solely for analytics and troubleshooting and does not include your scanned images, recordings, transcripts or any document content.

Data storage location (cross-border transfer disclosure): the account-layer data above is stored on Google Firebase servers in the asia-east1 (Taiwan) data centre. If you are located outside Taiwan (for example in Hong Kong, Singapore or Malaysia), by using the Service you consent to your personal data being transferred to and stored in that region; we will continue to protect it to the same standard under this policy.

3. AI engine download

Before first use, the App downloads AI model files from a content-delivery network (CDN). The download produces only standard network-connection records (such as IP address and download status), used to ensure transfer integrity and information security; these records are not linked to your account identity and are not used for marketing or analytics.

The Service uses the following third-party services, each of which processes data under its own privacy policy:

Under Taiwan's Personal Data Protection Act, Hong Kong's Personal Data (Privacy) Ordinance (PDPO), and the Personal Data Protection Acts (PDPA) of Singapore and Malaysia, you may exercise the following rights over your personal data: to enquire about or request access to it, to request a copy, to request supplementation or correction, to request that collection / processing / use be stopped, and to request deletion. Please email service@inknoteai.com; we will reply within 7 business days.

7. Children's privacy

The Service is not directed at children under 13, and we do not knowingly collect children's personal data. When a parent uses the Service to scan or organise their child's schoolwork, that content is stored only on the parent's own device.

8. Data security

On-device content is stored in the App's private directory, protected by the operating-system sandbox; cloud account data is transmitted with TLS encryption and subject to access controls. Because your documents and recordings are never uploaded, even if the cloud systems were attacked, your content could not leak — it simply is not there.

9. Official website

This official website uses Google Analytics 4 (GA4) for traffic statistics, to understand how the site is used and improve its content. GA4 uses cookies (such as _ga) to collect browsing data (pages visited, time on page, traffic source, device and browser type, approximate region), processed by Google under its privacy policy. We have not enabled advertising features, we do not link the statistics to your name or contact details, and we do not sell the data. You can block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on to decline measurement; this does not affect your browsing. Apart from these statistics, this site embeds no other tracking or advertising technology; the web server also keeps standard access logs for information security, troubleshooting and aggregate traffic statistics, which are deleted periodically. The App itself contains no telemetry or tracking (see above) and is unaffected by this section.

10. Changes to this policy

If we revise this policy, we will announce it on this page and update the version and effective date; material changes will additionally be notified in the App or on our official social channels. By continuing to use the Service after a change takes effect, you confirm that you have read and agree to the revised content.

Terms of Service

These Terms of Service ("these Terms") govern the rights and obligations between you and us arising from your download, installation and use of the InkNote AI Guardian mobile application and related services. By downloading, installing or using the Service, you confirm that you have read, understood and agree to these Terms. If you do not agree, please do not use the Service.

Article 12 — Governing law and jurisdiction

These Terms are governed by and construed under the laws of the Republic of China (Taiwan). The parties agree that the Taiwan New Taipei District Court is the court of first instance for disputes arising from these Terms, provided that jurisdictional rights consumers may claim under the Consumer Protection Act or other mandatory rules are unaffected, and mandatory consumer-protection rules of your location (Hong Kong, Singapore, Malaysia) are likewise not excluded by this Article.
